How a Lease Bills
Seamless Tenants makes a lease’s invoices by itself, each day for the periods that are due, and sends them to the primary tenant by email, and in the app if they have Tenant Portal access. Each invoice has a Rent line, and a Pet Fee line when the lease has a pet fee.
When invoices are made
Section titled “When invoices are made”A lease’s Invoice Generation sets it:
- Monthly: an invoice on the first day of every month.
- One Time: one invoice for the whole lease.
- Advanced: pick the Payment Cadence (monthly up to annual). Invoice Generation sets whether periods follow the calendar (Calendar Periods) or start on the lease’s start day (Relative To Lease Start Date), and Payment Timing whether each invoice is made on the period’s first day (Start Of Period) or last day (End Of Period).
The line under the options says when invoices will be made. A period the lease only partly covers, such as its first or last month, is billed for its days only.
When you add a tenant or a lease, invoices that are already due are made right away. If the lease started before this month, its form has a First Invoice Date: the first day to bill from. Periods before it aren’t billed. If you clear it, billing starts from the lease’s start date: every period since then is billed at once and emailed to the tenant, all due Due Date Interval days later. Before saving, you’re asked whether to bill them all or start billing from a date you pick, with how many invoices that makes and their total. An import asks once for all of its rows.
Due dates and late fees
Section titled “Due dates and late fees”- An invoice is due Due Date Interval days after it’s made.
- When an invoice is still unpaid after its due date, the lease’s Late Fee is added to it as a line, once per period, and the tenant gets an email about it.
A new lease starts with the unit’s rent, and the property’s Default Late Fee and Default Due Date Interval. You can change them on the lease.
A Free Lease makes no invoices.
Payment reminders
Section titled “Payment reminders”With Send Payment Reminders checked on the tenant’s General Info, the primary tenant gets an email before an invoice is due, on its due date, and the day after if it’s still unpaid. With Tenant Portal access, they also get a notification in the app.
The property’s admins get an email and a notification the day after an invoice goes unpaid, with or without reminders.
Send Payment Link adds a Pay Now link to those emails. It shows when reminders are on, the tenant doesn’t have Tenant Portal access, and the property has a merchant account, its own or your organization’s default. Emails to tenants with access link to the Tenant Portal instead, when the property has a merchant account.
When the lease ends
Section titled “When the lease ends”After the Lease Ends sets what happens:
- Move to month-to-month: the lease continues with the same terms, one period at a time, until you renew it, end it or move the tenant out. Its form then says After the Current Period, where you can stop it.
- Stop generating invoices: billing stops on the lease’s end date.
A One Time lease always stops at its end, and so does a lease saved with an end date already past.
The tenant and the property’s admins get an email 30 days and 7 days before a lease’s end date, including a lease set to move to month-to-month. There’s none once it’s running month-to-month or it’s been renewed, or after the tenant has moved out.
